The AEK Reservation Scheduling system streamlines staff and customer reservations of numerous facilities. It improves staff ability to schedule classes, activities and events in advance and permits the customer to search for and reserve remaining spaces and times via any computer workstation at any location.
Customer reservations may be charged fees and billed if desired. Reservation transaction lists and facility schedules are produced automatically.
Continuous, up-to-date schedule displays prevent inadvertent duplication of a reservation. Transactions produce receipts and may also produce permits or contracts. Bills may be mailed and a list of unpaid bills may be produced. Usage statistics are automatically recorded for future analysis and decision making.
Staff creates the list of facilities, categories, charge codes, overlaps and exceptions. Interfaces to AEK Registration Management permit class reservations to occur at the time program class masters are entered. AEK Sports Scheduling is linked to this system to immediately schedule teams for play locations. Processing may be linked to AEK Cash Register for single source entry. The names stored as part of AEK Registration or AEK Membership Management system can be the source of names to make reservations.
Virtually any type of scheduling and reservation of any kind of facility, equipment or other resource can be accomplished, because the database is defined and created by staff.
Staff can make multiple reservations at multiple workstations, simultaneously. Change, cancel or review reservations 24 hours a day, 7 days a week. Choices may be made for a reservation by time and day/date and by facility.
Staff may take telephone or in-person reservations based upon user-defined parameters. The system may be interfaced with the AEK Touch-Tone System to permit customers to make their own reservations. Personnel can make a reservation, call up a schedule, inquire on a reservation status on any video monitor, or print the information, anytime, anywhere.
